Privacy Policy
This Policy explains what personal information Miindtraa collects, why we collect it, who we share it with, how long we keep it, and the choices and rights you have. It is written to meet the Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023 and its Rules as they come into force.
By using our website, platforms or services, or by giving us your information, you consent to the processing described in this Policy. Please also read our Terms and Conditions.

1. Who we are
Miindtraa School of Healing & Training (“Miindtraa”, “we”, “us”, “our”) is a partnership firm registered in India, with its address at 704, Earth Darshan, Corner of 8th Lane, Khetwadi Main Road, Next to Hanuman Temple, Girgaon, Mumbai 400004, Maharashtra, India. For the purposes of Indian data protection law, Miindtraa is the Data Fiduciary (the party that decides why and how your personal data is processed).
2. Where this Policy applies
This Policy covers personal information we collect through:
- miindtraa.com and its subdomains, including academy.miindtraa.com, nqhmasterclass.miindtraa.com and nqhhealeracceleratorpage.miindtraa.com;
- the Miindtraa Academy web platform and mobile app (delivered through TagMango), and our pages and checkouts on Exly, FlexiFunnels and other platforms;
- forms, applications, quizzes, surveys, bookings and payments;
- live and recorded sessions on Zoom or similar tools, Practitioner Readiness Calls, counselling and 1:1 sessions;
- WhatsApp, email, SMS, phone calls, social media messages and our online communities;
- advertising and social media, including our pages and ads on Instagram (@miindtraa), Facebook, YouTube and LinkedIn.

4. Information we collect
4.1 Information you give us
- Identity and contact: name, email address, phone and WhatsApp number, city, state, country, and time zone.
- Application and profile: age range, occupation, modalities and qualifications, practice details, income range, goals, challenges, how you heard of us, and answers you give in applications, quizzes and forms, including the Practitioner Readiness Call application.
- Program information: attendance, participation, assignments, workbook entries, assessments, feedback, certification results and messages with our team.
- Payment information: order details, amount, date, payment method type, transaction ID, billing name and address, and GSTIN if you provide one. Card, UPI and bank details are collected and processed by the payment gateway, not stored by us.
- Community and user content: posts, comments, chat messages, reviews, testimonials, photos and videos you share with us or in our communities.
- Session information: what you choose to share during counselling, healing sessions, group sessions and calls (see sections 5 and 7).
4.2 Information collected automatically
- IP address, device type, operating system, browser, pages visited, time spent, links clicked, referring page, and approximate location from IP.
- Login activity, device and concurrent-session data on our learning platforms (used to protect accounts and content).
- Email and WhatsApp engagement, such as whether a message was delivered or opened.
- Information from cookies, pixels and similar technologies (see section 8).
4.3 Information from third parties
- Lead details from Meta (Facebook and Instagram) lead forms and ad interactions, and from YouTube, Google or LinkedIn.
- Payment status from payment gateways, and approval status from any lender you choose for EMI or Buy Now Pay Later.
- Referral details from partners who introduce you to us, where you have agreed to the introduction.
- Information that you have made public, such as a public review of Miindtraa.
5. Sensitive information
Because of the nature of our work, you may share information about your physical or mental health, emotional history, relationships, sexual orientation or gender identity, family matters, spiritual or religious beliefs, and financial situation. Under Indian law some of this is sensitive personal data.
- We collect this only when you choose to share it, and only use it to deliver the session or program you asked for safely, to assess suitability, and to meet our legal and professional duties.
- We limit access to the facilitator or counsellor working with you and the minimum team needed to support your program.
- We never sell it and never use it to target advertising at you.
- You can decline to share any of it. If withholding information means we cannot safely offer a particular service, we will tell you.
6. How we use your information
We use your information, based on your consent or as otherwise permitted by law, to:
- respond to enquiries and register you for masterclasses, workshops, calls and programs;
- assess your application and suitability, including on a Practitioner Readiness Call;
- process payments, instalments, invoices and refunds, and handle payment disputes and chargebacks;
- create and manage your account and access on our learning platforms;
- deliver sessions, programs, communities, recordings, resources and support;
- track attendance, assignments and progress, and apply program terms such as phase deadlines and status updates;
- assess and issue certificates, maintain our certification register, and verify certificates when asked;
- send service messages, reminders and updates by email, WhatsApp, SMS and calls;
- send information about our other programs and offers, where you have not opted out (see section 17);
- run, measure and improve our website, funnels, content and advertising, including building custom and lookalike audiences on advertising platforms from hashed contact data;
- train and supervise our team, and maintain quality;
- detect and prevent fraud, account sharing, content piracy, misuse and security incidents;
- comply with law, respond to lawful requests from authorities, and establish, exercise or defend legal claims.
7. Recordings and AI-assisted notes
7.1 Live group sessions, 1:1 sessions and Practitioner Readiness Calls may be recorded, and may be transcribed or summarised using AI-assisted note-taking tools (for example, Zoom’s AI features or Fathom). We tell you that a session may be recorded when you register or at the start of the session. By joining, you consent to the recording.
7.2 Recordings and transcripts are used to deliver the program, provide replays to participants, keep accurate records, improve quality, train and supervise our team, and resolve disputes.
7.3 Group session recordings may be made available to other participants of the same program. If you prefer, you may turn off your camera and change your display name where the program allows it. Some certification and practitioner programs require your camera to be on for attendance to count.
7.4 We do not use recordings that show your face, voice or personal disclosures in public marketing or advertising without your separate, specific consent.
7.5 AI tools we use are business tools with their own security terms. We do not permit them to be used to publicly identify you, and we do not upload counselling session content into public AI tools.
8. Cookies, pixels and analytics
8.1 Our website and funnels use cookies and similar technologies:
- Essential: to keep the site working, secure forms and checkouts, and remember your session.
- Analytics: such as Google Analytics and platform analytics, to understand how pages are used.
- Advertising: such as the Meta Pixel and Conversions API, and Google tags, to measure ad results, show relevant ads, and build audiences.
8.2 You can block or delete cookies in your browser settings, and adjust your ad preferences in your Meta and Google account settings. Blocking essential cookies may stop some features, such as checkout, from working.
9. Who we share information with
We do not sell your personal information. We share it only as needed with:
- Service providers (Data Processors) who help us run our business, under contract or their standard terms, including: website hosting and WordPress plugins; TagMango (learning platform and app); Exly, FlexiFunnels and systeme.io (pages, checkouts, bookings); Razorpay, Instamojo and other payment gateways; Zoom and Fathom (sessions, recordings and transcripts); Google Workspace, Google Drive and Google Sheets (records and documents); Brevo (email); Waplify and WhatsApp Business (messaging); Pabbly Connect (automation); TidyCal, NeetoCal and similar tools (scheduling); Meta, Google and YouTube (advertising and analytics); and AI-assisted productivity tools used by our team.
- Our team and contractors, such as facilitators, counsellors, operations staff and call setters, bound by confidentiality, who need the information for their role.
- Accrediting bodies such as IPHM, only where needed to register, verify or support your certification.
- Lenders you choose for EMI or Buy Now Pay Later, to process your application.
- Professional advisers such as our accountants, auditors and lawyers.
- Authorities, where required by law, court order or lawful request, or where necessary to protect someone’s life or safety.
- A successor entity if Miindtraa is restructured, incorporated, merged or its business is transferred, under the same protections as this Policy.
Anyone who can verify a certificate may be told whether a named person holds a valid NQH™ certificate and its level and date. We do not share other details for verification.
10. Transfers outside India
Some of our service providers store or process data on servers outside India (for example in the United States, the European Union or Singapore). We transfer data only to countries not restricted by the Government of India, and we choose providers that apply reasonable security standards.
11. How long we keep information
We keep personal information only as long as needed for the purposes above, and then delete or anonymise it. The periods in section 3 are our general rules. We may keep information longer where required by law, to resolve a dispute, to enforce our agreements, or where you ask us to. Where the law requires us to notify you before erasing your data for inactivity, we will do so.
12. How we protect information
We use reasonable security practices, including access controls and role-based access for our team, two-factor authentication on key accounts, encrypted connections (HTTPS), reputable platforms with their own security programs, confidentiality obligations for our team and contractors, and limiting sensitive information to those who need it. No system connected to the internet is completely secure. We cannot guarantee absolute security, and you share information online at your own risk. Please keep your own login details private.
13. Confidentiality in counselling and healing sessions
13.1 What you share in counselling and 1:1 sessions is treated as confidential and is not disclosed to anyone outside Miindtraa without your consent, except:
- where we believe there is a serious risk of harm to you or to someone else, including a child;
- where disclosure is required by law, a court or a government authority;
- for supervision or case discussion within our professional team, in which case we remove or minimise identifying details.
13.2 In group sessions, other participants hear what you share. All participants agree to keep it confidential under our Terms, but we cannot control what others do. Please share in groups only what you are comfortable sharing.
14. De-identified data, case studies and research
We may create de-identified or aggregated information from session notes, program data, surveys and feedback, so that no individual can reasonably be identified. We may use it to teach, write case studies, develop and improve NQH™ and our programs, publish research, books and articles, and report statistics such as the number of clients or practitioners. Once information is de-identified, it is no longer personal information.
15. Your rights
Subject to applicable law, you have the right to:
- Access: ask for a summary of the personal data we hold about you, how we use it, and who we have shared it with;
- Correction and update: ask us to correct inaccurate or incomplete data;
- Erasure: ask us to delete your data when it is no longer needed, subject to legal retention requirements and our certification register;
- Withdraw consent: at any time (see section 16);
- Grievance redressal: complain to our Grievance Officer and receive a response;
- Nominate: nominate a person to exercise your rights if you die or become incapable.
To use any right, email miindtraa2024@gmail.com with the subject “Privacy Request” from your registered email address. We may ask you to verify your identity. We will respond within 30 days. If you are not satisfied with our response, you may approach the Data Protection Board of India once the relevant provisions are in force.
16. Withdrawing consent
You can withdraw consent as easily as you gave it, by writing to us. Withdrawal does not affect processing already carried out. If you withdraw consent that is needed to deliver a program or session you have paid for, we may be unable to continue providing it, and this does not by itself entitle you to a refund. We may still keep information we are required or permitted to keep by law.
17. Marketing messages
We may send you information about our programs, events and offers by email, WhatsApp, SMS and calls. You can opt out at any time by replying STOP on WhatsApp, clicking unsubscribe in any email, or writing to us. After you opt out, we will still send service messages about programs you have bought.
18. Children
Our programs are for adults aged 18 and above. We do not knowingly collect data from anyone under 18 except where a parent or legal guardian books counselling for them and gives verifiable consent. We do not track the behaviour of, or direct targeted advertising at, children. If you believe a child has given us personal data without such consent, please contact us and we will delete it.
19. Third-party links and platforms
Our pages link to third-party sites and platforms such as Amazon, YouTube, Instagram, WhatsApp, Google and payment pages. Their use of your data is governed by their own privacy policies, and we are not responsible for their practices. Information you post in public areas or groups can be seen by other members.
20. Data breaches
If a personal data breach occurs that affects you, we will take steps to contain it, and will inform you and the relevant authorities as required by law, including what happened, the likely impact and what you can do.
21. Changes to this Policy
We may update this Policy from time to time. The latest version will be posted on this page with a new “Last updated” date. If a change materially affects how we use information you have already given us, we will notify you by email or WhatsApp.
